Minutes of SAC Board Meeting - October 10, 2003

In attendance: Jennifer Sammons, Susan Copeland, Talana Vogel, Mary Honey, Deanna Showli, Lee Meyers and guest Pat Alexander.

Membership Drive
As of October 10, the SAC Membership Drive had achieved record results, with a total of 66% of Campus School families participating. Susan would like to print the names of every family that contributed. We received some loose change with no names attached, so it won't be possible to recognize those families, but their contributions are still appreciated. It's important for parents to know that, while the drive is over, contributions are always welcome. In the future we also need to clear up confusion about whether payment for an event is a membership contribution (it's not).

Teacher Fundraiser
Ms. Coleman and Ms. Harris came by to report that the Teacher Fundraiser generated approximately $10,600, and 100% of the funds will be contributed toward the Smart Cart purchase. While the total is still subject to some adjustment up or down, Ms. Coleman and Ms. Harris were confident that the final amount would be at least $10,000, which is well in excess of the $8700 raised last year. The board expressed their sincere thanks for this significant contribution toward our fundraising goal.

Adopt A Book
Campus School parent Martha Saals met with Ms. Harris to develop an expanded Adopt A Book program. The plan is to expand the program beyond just the Christmas season and promote Adopt A Book donations to honor students' birthdays, teachers' birthdays, student awards and other special occasions. A photo of the honoree will be put on the Honoree Tree. There will be a booth at Fall Fest to promote the program. Flyers will be sent out when the program kicks off and reminders will be sent throughout the year.

Cookie Dough Fundraiser
The proposed vendor, The Goodies Factory, has been approved as a fundraising vendor by the Memphis City Schools. The program will be kicked off with a November 6 assembly to announce the details of the fundraiser to the students. All orders must be turned in on November 20, and cookie dough will be delivered on December 3.

Fall Fest
Deanna Showli, Event Chair, gave an update on how the event is shaping up. She has talked to Spring Fling Chair Michael Johnson and found out that Idlewild Church has an event the day before so they can't work out the timing to loan us their equipment. Deanna will put together 20 games using the materials she has, with some minor purchases and rentals. We will also have an astronomer with two telescopes. Letters about the class baskets for the auction were sent to room parents this week. Deanna will be calling volunteers to tell them what their assignments are for the day of the event. She is still looking for someone to coordinate the food. Jennifer and Jack Sammons will provide and cook hotdogs. Deanna is in the process of developing the price list for the food and games. She plans to sell tickets in advance, but will also offer ticket sales at the event. Talana will call Jim Hellums about lights. Deanna needs to know where the lights will be placed so she can complete the floor plan. A form advising the University of the carnival will also be completed as required. Volunteers will be asked to arrive at 5:00 p.m. so we can be ready for the 5:30 to 7:30 p.m. event.

Additional Fundraising Ideas
Lee Meyers informed the board that the Lipman parent support group, PALS, is interested in doing a joint clothing sale fundraiser. The board was interested in discussing this idea with PALS board president, Julie Calkins. Lee was asked to contact Julie and invite her to our next meeting.
It was also suggested that we might raise funds by having children decorate and sell tiles. This idea was tabled until after the first of the year.

Journalism Club
Jennifer will give Susan the information collected about interest in a journalism club.

Tutors
A number of parents have volunteered to be tutors. Jennifer will give the list of volunteers to Susan, and she will give that information to the teachers so they can call the parent volunteers as needed.

Directory
Mary has the directory in progress and hopes to complete it soon. Jennifer asked Mary to identify any help she might need from other board members.
