SAC Board Minutes December 12, 2003

Treasurer Update
Kim reported that SAC has raised a total of $20,438.50 year to date, including $7,630.75 from the cookie dough fundraiser, $560 from the November 6 Skate Night, and $260 so far this year from Adopt A Book. Much more is expected of the Adopt A Book program because promotion just got underway. With the addition of the $10,500 proceeds from the teachers’ fall fundraiser, which the teachers generously chose to contribute toward SAC’s Smart Cart purchase, we now have nearly $31,000 toward our $50,000 goal. Additional net proceeds are budgeted as follows:

There will be some expenditures in the spring semester, such as the Teacher Appreciation Luncheon, so it looks like we will be close to our target.

Kim and Bruce Schadrack have served SAC very well for several years as treasurer. Since their Campus School student will be moving on to middle school, we’ll need a new treasurer for next year. The board agreed to try to identify a replacement by March to allow ample training time.

Cookie Dough Fundraiser
The board is very appreciative of the hard work of co-chairs Jennifer Fichtner and Amy Mulroy. Having never done a cookie dough sale before, this was a new experience for everyone. The group identified a few things to do differently next year: 1) don’t use yo-yos as an incentive prize, 2) deposit checks more frequently to avoid getting return notices after product has been delivered, and 3) check to see if the teachers’ Fall fundraiser could be held a week or two earlier so there is more time between the two sales.

Additional Fundraising Ideas
Consideration was given to new fundraising ideas including a larger silent auction. This would be an evening event for adults, possibly at the U of M Holiday Inn. An event chair with a lot of time and energy would be required. The group agreed that it was too late in the year to pursue this idea, but it might be something to consider for the future.

Another fundraising idea is to build relationships with prominent Campus School alumni. A database of alums would have to be built. This idea may also be considered for the future.

Directory
Jennifer has not had a large enough block of time to complete the directory. She may be able to do this over the holidays, and will contact other SAC board members for assistance as needed. The plan is to print 100 directories and sell them for $5 each.

Yearbook
Marta Tetzeli, yearbook chair, will attend the January SAC Board meeting. Jennifer has spoken with her and clarified budget ($1600) and expectations.

Hazard Preparation Containers
The teachers still need 16 large plastic containers, one for each classroom, to hold hazard preparation supplies. Jennifer will check with Kim on the status of this purchase.

Clothing Sale with Lipman
The Board is interested in continuing to pursue the clothing sale along with Lipman. The sale would be held in February or March. A Campus co-chair would need to be identified. Lee and Mary both had ideas for possible chairs.

Future SAC Purchases
Jennifer shared ideas for purchases that SAC might make next year after the Smart Cart has been purchased. One idea is Accelerated Reader software, although Talana said she believes we already have it. Another suggested was Wordly Wise Workbooks. No conclusions were reached, but the board agreed to give some thought to future purchases.

The next SAC Board meeting is scheduled for Friday, January 9.
