SAC Board Meeting Minutes October 13, 2004

In attendance: Mary Honey, Susan Copeland, Melissa Pearce, Lee Meyers, Deanna Showli, Amy Mulroy, Marta Tetzeli, Beth McGoldrick, Kim Johnson (part time)

Fall Fest:
Deanna reported on preparations for this October 28th event. Last year she spent a total of $469, so the board advised her to try to keep this year’s expenses under $500. The biggest concern right now is lights for the playground. Deanna has contacted Fed Ex’s community relations office to see if they can donate lights, but she has not received a call back yet. Deanna will also call Jim Hellums at the U of M about lights, and Melissa will contact the U of M athletic department. If we are able to obtain donated lights from one of those sources, Deanna is confident she can keep expenses below $500. The big expenditures include the inflatables and the cotton candy machine and materials. Deanna has secured donations for hot dogs and buns, and Mary will provide candy and drinks. We’ll need 25 to 30 pizzas so that will be another large expense. Melissa will contact Garibaldi’s to see if they are willing to donate. She will also contact RP Tracks about a donation. The possibility of adding a pumpkin carving contest was discussed. Each class would carve one pumpkin and Fall Fest participants would be encouraged to vote for their favorite using one ticket per vote. A publicity letter about Fall Fest will go home this week, and tickets will be pre-sold until the day of the event. Melissa will contact U of M security so they’ll know there will be parents parking around the school that evening. Funds will also be collected and placed in a lock box during the course of the evening.

Treasurer’s Report:
Kim Johnson briefly gave an update on SAC finances. She reported that membership drive proceeds in the amount of $2390.07 have been collected and deposited as of October 13. Additional funds have been collected but not yet totaled or deposited in the SAC account. Kim and Mary will meet separately to prepare the ’04-’05 budget and will report on their progress at the next meeting.

Carpool Signs Fundraiser:
Beth McGoldrick attended to suggest a fundraising idea. She offered to make signs for parents to use when picking up children in the circle drive. The signs would have the children’s names on them and the driver would place these on their dashboards so teachers would know right away which child to bring to each car. Beth’s husband can make the signs for $3 and SAC could sell them for $5. The board liked this idea and wants to pursue it. Beth will make a flyer and get it to Mary. Beth will also have a table at Fall Fest for the purpose of selling the signs.

Yearbook:
Marta has 8 to 12 students signed up to be on the Yearbook Committee, and they will be meeting after school to begin making yearbook plans. Craig Patterson will help with layout again this year, but the student committee will also be doing some photos and layout. Melissa suggested asking room parents to submit pictures to Marta, preferably on CD. Mary will ask Laurie Kay, room parent coordinator, to send an email to room parents. Susan offered Mary a printer contact, Taylor Publishing.

Membership Drive:
The drive is nearly over and proceeds have not reached the goal, so the drive will be extended through October 22. Room parents will be asked to send a note to the parents in their child’s classroom reminding them to send in membership donations.

Directory:
Pam Rose is wrapping up the directory and needs direction from the board as to quantity and budget. The group agreed that she should print at least 100. She will also be offered the opportunity to have a table at Fall Fest to sell the directories or take orders. Deanna is checking on the possibility of copying the directories at her office. Susan suggested a paper vendor that can provide paper at $1.75 per ream. Lee proposed that we partially funding the project by selling ads to area businesses. The group discussed the possibility of putting 10 business card-sized ads on the back page of the directory.

Holiday Fair:
Kea Haynes has agreed to chair this event.

Cookie Sale:
Amy Mulroy reported that she and Jennifer Fichtner are investigating alternate vendors and considering additional products to include in the sale, such as cheesecake. Since this sale was so successful last year, the board encouraged Amy to continue with last year’s vendor and focus on just cookies to keep logistics simple.

Tyson’s Labels:
Nancy Page is working on finalizing plans to collect Tyson foods labels because they award a lot more money per label than similar programs. Nancy just needs to speak with Ms. Coleman to complete arrangements for this fundraiser.

Faculty Fundraiser:
Orders for the teachers’ gift wrap and chocolate sale were submitted in early October. Everything seemed to go well, but it is still too early to tell how this year’s sales compared to last year.

Website/Tiger Tracks:
Lee brought up the need to communicate with updated SAC minutes on the website and regular newsletters. Susan mentioned that Milton Craft had recently been unavailable for this work, but she felt certain he wants to continue as Tiger Tracks and website chair. Lee will contact Milton to get recent minutes posted and discuss Tiger tracks.

The next board meeting is scheduled for November 10.
