SAC Board Meeting Minutes February 9, 2005

In attendance: Mary Honey, Susan Copeland, Melissa Pearce, Lee Meyers, Amy Mulroy, Mike Carroll (guest).

Science Fair:  Amy asked if it is possible for Science Fair participants to get a copy of the judge’s feedback as a means of allowing them to learn more from the experience.  That suggestion will be passed along to Science Fair chairs Bill and Cheryl Simco.

Student Planners: Mike Carroll, representing Premier, showed samples of various styles for student planners.  This year we have different sized planners for the higher grade, but prices are slightly lower if we order all planners in the same size.  Mike pointed out that there is an early order incentive if we can just give him order quantities and cover preferences by the end of February.  He also noted that we could pay just $25 to print an ad on the back of the book.  Melissa will pursue this option.  The board agreed that we should order early to secure the incentive.  Susan will check with the faculty about their preferences for the planner size. 

Financial Statements: Chris Kilpatrick is working on financial statements and expects to have them by the week of February 14.  Chris will continue to function as the reconciliation officer, providing monthly financial audits.  We may make this a permanent board position. 

Recruiting new SAC Board Members: As always, teachers will be asked to suggest parents who may be interested in becoming SAC board members.  Mary will also prepare a nomination form to send home so interested parents can self nominate.  Recruitment should be completed some time in April so the new SAC officers can be introduced at the May 5 SAC meeting. 

Calendar of Events: A Malcolm Baldridge site visit is scheduled for February 16.  Susan will let the group know if the site visitors want to meet with SAC board members on the 16th.  The Parent Appreciation Breakfast has been moved to April 15.  The Teacher Appreciation Luncheon will remain on April 29 as originally planned.  This will allow everyone to focus on TCAP testing during the week of April 18-22.  The P.E. Demonstration is scheduled for May 5 at 6:30 pm.  The 6th Grade Dinner will be held on May 17 instead of the originally scheduled May 19.

Yearbook: Marta Tetzeli expects yearbooks to be ready some time during the last two weeks of school.  Marta will not be able to be the Yearbook Chair next year, so we’ll need to recruit someone else to take on this role next year. 

 School Structure: Susan reported that whenever the Memphis City Schools alter their school structure from elementary grades being 1st through 6th to a new model of Kindergarten to 5th grades, Campus will follow suit.  MCS officials have indicated they definitely plan to make that change, but a timetable has not been set.  Campus will match the MCS timetable, and Susan will provide as much notice to parents as possible.  When the elementary grades are changed, MCS middle schools will include grades 6-8.  Melissa reported on an initiative to extend Campus to a K to 8th grade model, but she estimates three years to get that completed.  She will keep in touch with Susan on this matter.

Book Fair: Amy reported that plans are well underway for the Book Fair.  The theme this year is “Read a Great Tale.”  Family Night will follow a “sleep over theme” with students encouraged to come in pajamas and snacks consisting of milk & cookies and popcorn. 

Money Management: Melissa will meet with Regions Bank to request that they donate the moneybags so we can keep event proceeds in them for security purposes.  If Regions doesn’t agree to make a donation, Melissa will purchase three moneybags at $18 apiece.
