CSPN Board Meeting September 14, 2005

In Attendance:
Susan Copeland, Melissa Pearce, Amy Mulroy, Mary O’Kelly and Lee Meyers.

Bank Statement: Per procedure, board Secretary Lee Meyers opened the Regions Bank statement for CSPN’s account, initialed it and handed it to Treasurer Mary O’Kelly.

Treasurer’s Report: Mary presented the first draft of a report summarizing 2004-2005 account activity. It will be used as the basis for 2005-2006 budget preparation. Mary reported that she and Melissa are currently working on a CSPN Treasurer Procedure Booklet. It will contain all of the necessary forms, rules and regulations. The group agreed that the treasurer’s role is a complex one, and it is essential that future treasurers have a firm foundation on which to operate.

Educational Growth Plan: This plan, which will outline how CSPN funds will be spent to enhance the Campus learning environment, will be included as part of the 2005-2006 budget. One request that has come up is rubber play yard matting to meet the very latest safety standards. Melissa is investigating pricing.

Calendar: Red Ribbon Week is an important upcoming event, so Susan asked Melissa to meet with the Red Ribbon Week planning committee to provide CSPN input. Adopt-A-School week occurs at the same time, and it is a good time to showcase our school for potential adopters. Campus does not currently have a formal adopter to provide ongoing financial and volunteer support.

CSPN Support Drive: With the end date for the Support Drive just 9 days away, we are still well short of our goal. Melissa will ask Laurie Kay to email room parents and ask them to call other parents in their class to encourage their financial support of CSPN. We will also have a CSPN Support Drive table near the front entrance before, during and after Math Night activities on Thursday September 22. In addition, Melissa will attend an upcoming faculty meeting to answer any questions teachers may have about the drive. During the meeting, Susan handed her CSPN support check directly to Mary for posting to the CSPN account.

By-laws and Job Descriptions: Amy is continuing to work on these important documents. With input from other board members, she hopes to complete them soon.

Cookie Dough Sale: Amy gave an update on vendor selection considerations for this upcoming sale. The group expressed a preference for a product with scored cookie dough for portion control and ease of use. Amy will investigate and email vendor options to the group. A vendor decision must be made before the October board meeting, so a board vote will be taken by email.

NOTE: After the meeting, Amy emailed the following information to the board:

Tubs- Goodies Factory-$10/ tub at 65% profit of $6.50/tub; we supply prizes, do all the photocopying and sort the product per child. $10/tub at 55% profit of $5.50/tub; they do everything (prizes are a small toy per 15 tubs sold with 2 big prizes to give away)

Boxes- Reader's Digest-$12/box at 50% profit of $6/box; we do everything. $12/box at 40% profit of $4.8/box; they do everything (prize structure like teacher's fundraiser)

Boxes-Little Lambs-$14/box at 50% profit of $7/box; we do everything. $14/box at 40% profit of $5.6/box; they do everything (different prize structure- free box per 10 sold per child; $50 pizza party per class that sells>125 boxes)

Last year we sold 1044 tubs for a profit of about $5600. The year before that, we sold 1490 tubs, so it does vary per year. If we sell a similar number of boxes this year as last year (i.e., 1044 tubs), these are our estimated profits-

After reviewing this information, the board opted to go with Reader’s Digest using volunteers to do the work so we can get the maximum profit of $6/box. The rationale is that those familiar with Reader’s Digest cookie dough thought it was a better product at a reasonable price and profit margin.

Website: Melissa reported that the website is now functioning smoothly, and all board members expressed gratitude to Milton Craft for his hard work on this project. The website is an important element of our ongoing effort to enhance communications, so Milton’s work is much appreciated. Lee will check to make sure the minutes of the August 23 CSPN Parent Meeting are posted.

Campus School Honor: Susan reported that Campus has received an award for student involvement from the Memphis City Beautiful Commission. As a reward for the students, magician Mr. Nick will perform at an assembly on November 4 at 1:30 p.m.

Adjournment and Next Meeting: The meeting was adjourned at 2:52 p.m. The board’s next meeting will be on Wednesday, October 12.
