CSPN Board Meeting October 12, 2005

In Attendance: The meeting began at 1:33 p.m. Melissa Pearce, Susan Copeland, Amy Mulroy, Mary O’Kelly and Lee Meyers were all present for the entire meeting. Deanna Showli, Carter Bagley and Robyn Childs attended part of the meeting.

Bank Statement: Per procedure, board Secretary Lee Meyers opened the Regions Bank statement for CSPN’s account, initialed it and handed it to Treasurer Mary O’Kelly.

Minutes: Lee distributed copies of the September 14 meeting minutes. After a brief review, the board voted to approve the minutes as written.

Treasurer’s Report: Mary presented the CSPN Financial Report, dated September 5, 2005. Net income of $8,634.05 was reported, with most of the revenue ($7995.76) coming from the very successful CSPN Support Drive. The board voted to approve the report, and it will be placed in the CSPN drawer in the Campus School office so that any interested parents may take a look at it.

Event Chairs: Amy passed out a list of all event chairs and their contact information.

Fall Fest: Deanna Showli and Carter Bagley were present to report on their progress. Preparations for this October 27th event are well underway, and the recent plea for additional help has resulted in a full complement of volunteers. Deanna reported that Carter is heading up games and Robin Acree (who was unable to attend today’s meeting) will be responsible for concessions. Deanna submitted a list of estimated expenses and planned donation requests. Melissa will try to secure a donation for pizzas. She has also requested and received a commitment from Palazola Produce to donate pumpkins. If possible, we will add a pumpkin-decorating contest, with each class decorating a pumpkin.

Red Ribbon Week: Campus teachers are handling this series of events which will be held the week of October 24. No CSPN expenses are anticipated.

Cookie Dough Sale: Amy reported that sale materials are ready to go home with the children on October 13, and the sale will run from October 13 through 27th as planned. Amy will process orders, count money and place the order Monday, October 31. Product will be delivered on Monday, November 21, so students will have it before Thanksgiving break. Volunteers are baking cookies and dropping them off at Campus prior to the scheduled 2 pm assembly on October 13. Amy and Angela Allen will give the children a brief pep talk and pass out sample cookies before the children return to class.

Directory: Amy reported that Pam Rose has the directories ready for printing and will begin selling them for $5 each on Tuesday, October 19. Amy and Pam will handle sales at a table in the front hallway before and after school while supplies last.

Yearbook: Anna Inman has assumed yearbook responsibilities. She will finish up last year’s yearbook and begin work on the 2005-2006 book. Anna will hold a meeting with her committee on October 21. At that time, she hopes to map out a plan, divide up duties and work on identifying a projected delivery date for the 2004-2005 yearbook.

Newsletter: Susan has finished reviewing a draft of the upcoming newsletter, and she expressed her delight at how the newsletter is shaping up. The October issue will be out in hard copy and also on the Web site very soon. The group discussed establishing a regular schedule for news submission, preparation, review and distribution. It was agreed that once a firm schedule is established, any news that is submitted past deadline will be held for the next issue. Amy will finalize the schedule and distribute it to the group.

Holiday Fair: Co-chairs Kea Haynes and Mary O’Kelly have selected a new vendor, Kids Korner USA, and Mary passed around product brochures. This vendor is expected to offer several advantages including pre-programmed cash registers for speedier checkouts and quick delivery of additional product in the event we run out of an item. A firm schedule for this event is not yet established, but it will be held either December 6-7 or December 7-8. Children will shop in the playroom during P.E. times. Susan will email date confirmation.

Adopt-A-Book: Chair Lois Young has already received 3 donations. A small budget is needed for thank you letters, postage and envelopes and the board agreed to allocate funds from proceeds for this purpose. The Adopt-A-Book form is on our Web site.

Adopt-A-School: Melissa reported that this event will be held October 31 and November 1. A letter has gone out to companies inviting them to come by for a visit between 10 a.m. and 1 p.m. to look at Campus as a possible adoptee.

Reunion and Homecoming: Melissa wants to encourage Campus alumni to recommit to their roots and invest in their school by inviting them to this event, which will be held December 1 and 2. Campus logo shirts will be sold to alumsfor $30 each, with excess funds serving as a donation.

Door Signage: When people pull on the front door, rather than waiting for the click, damage is done to the lock. The school recently had to replace the lock at a cost of $350, so to prevent further damage, we’ll order a window decal sign that reminds people to stop pulling on the door.

Budget: Mary emailed the 2005-2006 budget to board members and will place it in the CSPN drawer so it will be available for others to view.

Wish List/Growth Plan: Peggy Weiss, Kim Johnson and Melissa will meet to go through the wish list and identify gaps. They will develop a plan that will ensure equitable purchases so that each classroom gets something from the teacher’s wish list. In addition, a long-term technology plan is needed.

Calendar: As soon as a golf tournament date is established, the calendar will be complete for the year.

School Web Site: The board briefly discussed the new and improved Campus Web Site (www.campusschool.org). All members expressed approval of the changes that have been made and gratitude to Milton Craft for his excellent work. We’ll be encouraging visits to the school Web site by mentioning it in the newsletter, placing “yard signs” by entrances and possibly adding a mention on the sign in front of the school.

Bylaws: Amy has done a lot of work drafting CSPN bylaws. Board members are asked to review her draft and email any suggested changes to Amy with a copy to all board members.

Adjournment and Next Meeting: There being no further business, the meeting was adjourned at 2:58 p.m. The next board meeting is scheduled for 1:30 p.m. on Wednesday, November 9.
